I know it's important to relax during the workday, but how can I do this and how often?

Here are two different approaches – I invite you to try them both and see what works best for you:
Firstly, let’s use the power of the breath. In our daily activities, the breath is a reflection of our emotions. When we’re stressed, our breath becomes shallow and we deprive ourselves of oxygen. I suggest practicing breath awareness. Observe changes during the day and when it is shallow, try taking a few deep breaths gently expanding the belly on the inhale and relaxing everything on the exhale. You can also be proactive and take deep breaths throughout the day, associating them with a regular activity like sending e-mail or opening a door.
Secondly, you can practice shoulder awareness. Our shoulders sometimes creep up towards our ears when we’re tense. Be especially attentive when on the computer, the phone or driving your car. Again, take a few deep breaths and consciously release accumulated tension.
